NOTES FROM THE ROAD

A road trip budget that leaves room for the unexpected

The small costs are easier to handle when they are part of the plan.

Separate fixed and daily costs

Start with fuel, booked accommodation and known tolls. Then add a daily allowance for meals, activities and incidental spending. Be clear about whether each figure covers one person or the whole group.

Use the full route distance

Include the return journey and local detours. For metric fuel estimates, multiply kilometres by litres per 100 kilometres and divide by 100. Then multiply by the local price per litre. Keep the price and consumption units consistent.

Reserve money before you spend it

Choose a contingency that suits the uncertainty of your trip. There is no universal percentage that makes every journey affordable. If the budget only works when nothing changes, simplify the route or adjust the bookings.

Agree on shared costs early

Decide what counts as a group expense before leaving. Record who paid and keep receipts for larger items. An equal split is straightforward only when everyone has agreed to it; the Expense Splitter assumes equal shares.

Check the plan against each day

After fixed costs and an emergency reserve, divide the remainder by travel days. If that number is uncomfortable, reduce costs now rather than relying on optimism. The Daily Budget Planner makes the trade-off visible.
